Collect video messages in Google Drive

How to do this with a Drive folder — and when to stop.

A shared folder is the default way people collect video messages, and for a small group it genuinely works. Here is the whole procedure, plus the point at which it stops being the cheap option.

What a Drive folder does well

It costs nothing, everyone already has it, and there is nothing to explain to anybody. If the clips are few and the people are close by, a folder and one evening is a complete answer. We are not going to pretend otherwise.

The folder method, start to finish

Follow this and it will work. Read it through first, though, because steps five and six are where the evening goes.

    Make the folder

    Create a folder named for the person and the date. Keep it away from anything work-related, because you are about to share it widely.

    Set link sharing deliberately

    You need the setting that lets people outside your organization add files. Check with your administrator before you send the link: that setting is theirs to allow or refuse, and we cannot tell you which it is.

    Write the ask, and repeat it

    A folder cannot carry a prompt, so the question, the length limit and the deadline all have to live in your message. Expect to send it more than once.

    Chase the stragglers

    About half will arrive by the deadline. The folder will not tell you who is missing, so keep your own list beside it.

    Download and re-encode

    Phone clips arrive sideways, at different resolutions, frame rates and volumes. Rotation stored as metadata is the usual culprit; most editors want the files normalized before they behave.

    Stitch it together

    Order the clips, add an opening and closing card, balance the speech levels and export. This is the part that takes the evening, and the part you cannot hand to anyone else.

    Decide when to delete it

    Put the date in your own calendar. Nobody else is going to remember that a folder of colleagues’ faces is still sitting in your account — and somebody has to tell everyone once it is gone.

What the folder actually costs

Your evening, not your money

The folder is free until the storage is not: a pile of video can outgrow the allowance on whichever account it lives in, and more space is a paid plan. The real price is the download, re-encode, stitch and export — a few hours of one specific person, and that person is you.

Somebody ends up accountable for it

The folder lives in one person’s account — yours — under whatever retention and sharing rules your organization has set, and Gatherfox cannot tell you what those are. In an EU workplace that is the question that stalls the project: where does the footage live, who can see it, and when does it go?

FAQ

Can contributors upload without a Google account?

With file-request style sharing they can, if your administrator permits it. Check with your administrator before you send the link to forty people: whether external uploads are allowed is their setting, and not something we can promise on their behalf.

Why do phone clips look wrong once I stitch them?

Rotation is usually stored as metadata rather than baked into the picture, so a clip that plays upright on the phone can land sideways in an editor. Re-encoding with the rotation applied normally fixes it.
