The practical answers, before you need them.
Recording, privacy, payment and download questions for organizers and contributors.
Does a contributor need an account?
No. They open the private contribution link, add a display name and consent, then record or upload in their browser.
Which video files work?
Gatherfox accepts common MP4, MOV, M4V and WebM phone and browser recordings, including HEVC, H.264, VP8 and VP9 up to 4K. Each clip must be 60 seconds or less and no larger than 500 MB.
Can someone replace a clip?
Yes. Their private receipt link lets them replace or withdraw a contribution until collection closes. The organizer can also request a replacement.
Will portrait clips be cropped?
No. Gatherfox preserves the full frame and uses a theme-aware background to fit portrait, landscape and square recordings into one canvas.
When are files deleted?
The exact original goes 30 days after upload. Working copies expire at the earlier of 30 days after the first full preview or 90 days after upload. A paid final remains for 12 months from payment. The project shows the applicable dates.
Can I make changes after paying?
Yes, while working media remains. Payment unlocks the project, so you can reorder, adjust captions or theme, and rerender without another charge.
Which companies process Gatherfox data?
Production uses Vercel and Neon for the app and database, Cloudflare R2 and Trigger.dev for private media and processing, Deepgram EU for captions, Resend for email, Paddle for payments, and Upstash and Cloudflare Turnstile for abuse controls. We review regions, retention and no-training terms before enabling a provider.
Why is a clip marked needs attention?
Gatherfox may have found missing audio, unreadable footage, extreme darkness or a caption failure. The project explains whether to replace, correct or explicitly accept the clip.
Can younger children appear?
Contributors must be at least 13. An adult may submit for a younger child only when they have authority to consent for that child and everyone shown.
